Trying to join one of our field trip or event WhatsApp groups, but the link just opens WhatsApp, the QR code isn’t working, or you’re simply not getting into the group?
Don’t worry — you’re in the right place!
Technology is wonderful when it works…and mildly infuriating when it doesn’t. Thankfully, if WhatsApp isn’t cooperating, we can manually add you.
And before we go any further, one important clarification:
Our individual Field Trip & Event WhatsApp Groups are completely FREE and open to the public!
You do NOT need an Annual Family Membership to join one of our public field trip or event WhatsApp groups. These groups are simply a way to follow a specific event you’re interested in and stay informed as updates become available.

Having Trouble Joining? Start Here!
When we create a WhatsApp group for a field trip or event, we’ll typically provide a direct WhatsApp invitation link and/or a QR code you can scan with your phone.
These may be included with our Facebook posts, event announcements, emails, website updates, or other official CFLHSG communications.
Try the Direct Link
Tap the WhatsApp invitation link provided for the event.
If WhatsApp opens but doesn’t actually take you into the group, move on to the QR code.
Try the QR Code
Scan the QR code provided with the event information.
Sometimes one method works when the other doesn’t depending on your phone, browser, or WhatsApp settings.
Still Can’t Get In? We’ll Manually Add You!
If you’ve tried both and you’re still having trouble, please don’t keep fighting with your phone. Just reach out to us!
Send us a private message directly on WhatsApp and tell us which field trip or event group you’re trying to join OR Send us an email with:
Your first and last name
The phone number associated with your WhatsApp account
The exact field trip or event group you’re trying to join
We’ll use that information to manually add you to the correct group.
Important: Please make sure the phone number you provide is the same number connected to your WhatsApp account. Otherwise, we may not be able to locate or add you.

Why Do We Have Individual Field Trip & Event Groups?
If you’re new around here, you may be wondering why there are so many WhatsApp groups.
There’s actually a method to the madness!
Many CFLHSG field trips and events have their own individual WhatsApp group. This keeps information organized and prevents families from receiving a million notifications about events they aren’t interested in or attending.
These groups are FREE and open to the public. You do not need to be a registered CFLHSG member to join.
They’re simply another way for families to follow an activity they’re interested in and stay informed from the initial announcement through event day.
Depending on the field trip or event, we may use its WhatsApp group for:
Event announcements Ticket and registration updates
Important reminders
Participation instructions
New information and updates
Schedule changes or delays
Live event-day communication for participating families
Joining an event-specific group is also one of the best ways to make sure you’re among the first to know when new information becomes available for an activity you’re interested in.
One Important Note
Joining a field trip or event WhatsApp group does NOT register as a group member, register you for the event, purchase a ticket, reserve a spot, or guarantee availability.
The WhatsApp group is simply a communication tool that allows you to stay informed about that particular event.

Wait… How Many WhatsApp Groups Do You Have?!
Quite a few lol. But they each serve a different purpose!
Here’s the easiest way to understand our three different WhatsApp options:
1. Field Trip & Event Groups — FREE + PUBLIC
These are the individual groups we’ve been talking about above.
They are free to join and open to the public for families interested in following a particular CFLHSG field trip or event.
When one of these groups is available, its invitation link or QR code may be publicly shared through our Facebook page, website, or other CFLHSG communications.
You do not need to purchase a membership to join these groups.
2. Members Only WhatsApp Group — PRIVATE + VERIFIED MEMBERS ONLY
This group is completely different.
We have ONE private WhatsApp group exclusively for verified CFLHSG Annual Family Members.
Unlike our individual field trip and event groups:
It is not open to the public. We do not publicly share its invitation link. We do not publicly post its QR code. You must have an active Annual Family Membership to receive access
Registered families receive their private invitation after their Annual Family Membership has been processed and verified.
Why is this particular group private?
Because this is the only WhatsApp group where we can verify the individuals who have been given access.
That allows us to safely share information that we intentionally do not publish publicly, including:
Exact event locations
Detailed event dates and times
Direct ticket and registration links
Early-access or members-only opportunities when offered
Additional private membership announcements and information
This helps us protect the privacy and security of our participating families and children.
If you receive access to our Members-Only WhatsApp Group, please do not publicly share the invitation link or QR code.

Why Is There an Annual Family Membership Fee?
You may be wondering:
“If CFLHSG is a not-for-profit homeschool community, why is there a membership fee?”
Totally fair question!
CFLHSG is a volunteer-led, not-for-profit homeschool community, but unfortunately, operating a growing community and all of the systems behind it still costs money.
Our Annual Family Membership is just $10 per family, per year — approximately $0.83 per month for your entire family.
Those membership funds help offset the behind-the-scenes expenses required to keep CFLHSG running, including:
Bulk email services
Bulk messaging and communication systems
Website and online tools
Third-party platforms and software
Registration and organizational systems
Private member communication tools
Programs used to communicate with thousands of homeschool families
Many of the platforms and systems we use charge us based on the number of contacts, emails, messages, registrations, or users we have.
So as our community grows, unfortunately, those expenses grow right along with it.
Your membership isn’t simply paying to enter a WhatsApp group.
Your $10 Annual Family Membership helps support the infrastructure that allows this entire community to operate.
In addition to helping support CFLHSG, registered families receive access to our private, verified Members-Only WhatsApp Group and membership benefits that may include:
Early announcements and updates
Direct ticket and registration links
Access to information that isn’t publicly posted
Detailed event information
Members-only communications
Early-access or members-only opportunities when offered
At approximately 83¢ per month for your entire family, those memberships collectively help us continue creating field trips, events, resources, and opportunities without placing all of those operating expenses on a handful of volunteers.

Don’t really want another group chat on your phone?
We get it.
We also have a public CFLHSG WhatsApp Channel that anyone can follow — and it’s completely free.
This is a great option for families who simply want to receive general CFLHSG announcements and updates without joining another conversation-based WhatsApp group.
Here’s the Quick Version:
Field Trip & Event Groups → FREE + PUBLIC
Follow information and updates for one specific field trip or event.
Public WhatsApp Channel → FREE + PUBLIC
Follow general CFLHSG announcements and updates.
Members-Only WhatsApp Group → PRIVATE + VERIFIED MEMBERS ONLY
Receive private membership communications, direct links, detailed event information, and other membership benefits.
So if you simply want to follow an upcoming field trip or event, you do NOT need to purchase an Annual Family Membership to join its public WhatsApp group.

FAQ: Do I HAVE to Have WhatsApp?
For everyday participation in our community? No! WhatsApp is optional and you'll notice people come and go from them often.
Families can still find many of our general announcements through our website, Group Updates page, Facebook, Instagram, email, and other official CFLHSG communications.
However, WhatsApp IS required when participating in our field trips and events.
If your family registers for and participates in one of our field trips or events, you will need access to WhatsApp and must join the specific WhatsApp group for that event before participating.
Why?
Once an event begins, the event-specific WhatsApp group becomes our primary method of live communication with participating families.
We may use it for:
Meeting locations and instructions
Check-in or departure updates
Instructions from group leaders
Schedule changes or unexpected delays
Transportation or movement updates
Directions for finding the group Important last-minute information
Email and Facebook simply aren’t reliable enough for time-sensitive communication while our volunteers are actively managing an event.

Please Keep This in Mind
It is each participating family’s responsibility to make sure they have joined the correct event-specific WhatsApp group and can access it before the field trip or event begins.
If your family chooses not to join or is not connected to the appropriate event WhatsApp group, CFLHSG cannot be held responsible for missed communications that result in your family missing a meeting point, activity, portion of the event, or the event entirely.
You don’t have to keep WhatsApp forever!
If you prefer, you’re welcome to download it when needed, join the appropriate event group, use it throughout the field trip or event, and remove it afterward.
We simply need one reliable way to communicate with everyone while we’re out there trying to keep a whole bunch of homeschool families headed in the same direction.

If you know you’ll be participating, we strongly recommend making sure you’re connected to the appropriate WhatsApp group before the day of your field trip or event.
That gives us time to help if you run into any issues and ensures you’re ready to receive important live updates once the event begins.
