CFLHSG Participation Agreement & Liability Waiver
IMPORTANT — PLEASE READ
This Participation Agreement, Policies & Liability Waiver (“Agreement”) applies to ALL participation, registration, purchases, attendance, communication, and involvement with Central Florida Homeschool Group (CFLHSG), its affiliated activities, organizers, coordinators, volunteers, contractors, and representatives.
This Agreement applies to ALL CFLHSG-related activities, including but not limited to:
• Free RSVPs
• Paid events and ticketed activities
• Field trips
• Educational programs and workshops
• Local outings and community meetups
• Travel experiences and overnight stays
• Cruises and group vacations
• Camps and sleepovers
• Outdoor and recreational activities
• Boating, fishing, water-based activities, and transportation-related events
• Fundraisers and raffles
• Donations and sponsorships
• Giveaways and promotional opportunities
• Volunteer participation
• Membership opportunities
• Private communication groups and third-party platforms
By RSVPing, registering, purchasing tickets, submitting payment, participating, donating, joining communication channels, attending an event, entering a raffle, volunteering, or otherwise engaging in CFLHSG activities, participants acknowledge and agree to the policies, expectations, waivers, disclosures, and terms outlined below.
This Agreement applies to all adults, minors, guests, and additional participants included in any registration, RSVP, purchase, participation, or attendance.
The adult completing registration or participation acknowledges responsibility for ensuring all individuals included under their participation understand and comply with these terms.
PAYMENT, RSVP & REFUND POLICY
CFLHSG utilizes third-party platforms, payment processors, vendors, and event tools to coordinate activities, registrations, ticketing, communication, and payments.
Unless otherwise stated in writing on a specific event page, invoice, RSVP, registration form, ticket listing, fundraiser, raffle, email, or official CFLHSG communication:
• Deposits are NON-REFUNDABLE and NON-TRANSFERABLE
• RSVP planning fees are NON-REFUNDABLE and NON-TRANSFERABLE
• Tickets are NON-REFUNDABLE unless an event is fully canceled by CFLHSG
• Transfers are not guaranteed and are handled solely at CFLHSG’s discretion
• Refund requests may be subject to administrative deductions, processing fees, third-party fees, unrecoverable vendor costs, purchased supplies, custom materials, venue deadlines, or contractual obligations already incurred
Certain activities, travel experiences, overnight stays, cruises, workshops, chartered events, vendor partnerships, custom educational experiences, or specialty programs may include additional payment requirements, cancellation policies, refund terms, or deadlines.
Participants understand that event-specific terms may supersede general policies listed in this Agreement.
Submitting payment does not guarantee participation if requirements, deadlines, waivers, communication obligations, age requirements, behavior standards, safety policies, or other event-specific expectations are not met.
CFLHSG reserves the right to deny participation, restrict participation, or cancel participation if requirements are not satisfied.
FUNDRAISERS, DONATIONS & RAFFLES
CFLHSG may periodically host optional fundraisers, raffles, drawings, donations, sponsorship opportunities, auctions, promotions, or community support initiatives.
Unless otherwise stated:
• Donations are voluntary and NON-REFUNDABLE
• Contributions do not guarantee event participation, tickets, benefits, prizes, or membership access
• Fundraiser purchases may be subject to additional event-specific terms
• Giveaways, contests, and raffles may be subject to local laws, age restrictions, availability, eligibility requirements, participation limits, or geographic restrictions
CFLHSG reserves the right to modify, substitute, postpone, revise, delay, or cancel any promotional opportunity, fundraiser, giveaway, raffle, or prize at its discretion if reasonably necessary.
Participants understand that availability, inventory, vendor cooperation, shipping delays, sponsorships, substitutions, and unforeseen circumstances may affect fundraiser and raffle offerings.
EVENT-SPECIFIC TERMS & POLICIES
Certain events, activities, travel experiences, cruises, overnight stays, workshops, camps, chartered experiences, or special programs may include additional policies, disclosures, deadlines, venue rules, participation requirements, age restrictions, transportation expectations, communication requirements, payment schedules, cancellation policies, liability disclosures, or safety expectations.
When applicable, event-specific terms listed on:
• Event pages
• Registration forms
• RSVP pages
• Ticket listings
• Invoices
• Email communications
• Text messages
• WhatsApp groups
• Official CFLHSG announcements
• Third-party registration systems
shall supersede general policies outlined within this Agreement.
Participants are solely responsible for reviewing all event-specific details prior to registering, RSVPing, purchasing, donating, or participating.
Failure to review event details, announcements, communication channels, instructions, or participation requirements does not exempt participants from responsibilities, deadlines, policies, financial obligations, or event expectations.

PARTICIPATION EXPECTATIONS & COMMUNITY STANDARDS
CFLHSG strives to create a welcoming, educational, organized, and respectful environment for all participating families.
Participation in CFLHSG activities is considered a privilege and requires respectful cooperation, communication, flexibility, and adherence to community expectations.
By participating in CFLHSG activities, participants agree to conduct themselves in a respectful, safe, and cooperative manner toward:
• Children
• Parents/guardians
• Volunteers
• Organizers and coordinators
• Venue staff
• Instructors
• Vendors
• Transportation providers
• Hotels, attractions, and third-party partners
• Other participating families
Participants understand that group activities often involve moving parts, schedule adjustments, varying personalities, public environments, changing weather, vendor limitations, and circumstances outside of CFLHSG’s control.
Reasonable flexibility, patience, and respectful communication are expected.
COMMUNICATION RESPONSIBILITY
Participants are solely responsible for reviewing and monitoring:
• Emails
• Event pages
• Registration details
• RSVP information
• Websites
• Social media announcements
• WhatsApp groups
• Text messages
• Event reminders
• Third-party platforms
• Updates from CFLHSG
CFLHSG is not responsible for missed participation, forfeited tickets, scheduling misunderstandings, missed deadlines, confusion, transportation issues, missed boarding, late arrivals, lost opportunities, or failure to receive updates resulting from:
• Failure to review communications
• Failure to join required communication groups
• Incorrect contact information
• Full email inboxes
• Spam filters
• Muted notifications
• Technical issues outside of CFLHSG control
Participants acknowledge that some events may require participation in designated communication platforms (such as WhatsApp) in order to receive important time-sensitive updates.
Failure to participate in required communication channels may impact participation eligibility and access to important information.
ATTENDANCE, TIMING & NO-SHOW POLICY
Participants are responsible for arriving on time and reviewing all schedules, instructions, meetup locations, transportation details, deadlines, and event expectations.
CFLHSG is not responsible for missed activities, forfeited tickets, missed transportation, denied boarding, inability to participate, lost reservations, additional expenses, or scheduling issues caused by:
• Late arrivals
• Missed communications
• Traffic delays
• Transportation disruptions
• Missed deadlines
• Failure to follow instructions
• Failure to join communication groups
• Incorrect assumptions regarding timing or logistics
Certain events may involve strict arrival windows, charter schedules, timed entry, transportation deadlines, hotel policies, boarding times, venue requirements, or operational restrictions.
No refunds, credits, makeups, or accommodations are guaranteed for missed participation due to participant-related circumstances.
PARENTAL SUPERVISION & REGISTRATION RESPONSIBILITY
CFLHSG events are NOT drop-off programs unless explicitly stated otherwise in writing.
Parents, legal guardians, or supervising adults remain fully responsible for supervising, monitoring, transporting, and caring for minors at all times.
This responsibility applies during:
• Events
• Hotels and accommodations
• Attractions
• Parking lots
• Transportation
• Restaurants
• Walking areas
• Group activities
• Public locations
• Free time or unscheduled periods
The adult completing registration, RSVP, payment, purchase, or participation accepts responsibility for all individuals included under their registration or attendance.
This includes, but is not limited to:
• Children
• Additional adults
• Relatives
• Friends
• Guests
• Anyone participating under their registration
The registering adult accepts responsibility for supervision, medical needs, transportation decisions, communication, behavior, safety, and agreement to CFLHSG policies for all individuals included in their participation.
CFLHSG organizers, volunteers, coordinators, affiliates, representatives, and assistants are not responsible for childcare, supervision, transportation decisions, or individual participant oversight.
BEHAVIOR EXPECTATIONS & PARTICIPATION STANDARDS
Respectful, safe, and appropriate behavior is expected from all participants.
Unsafe, threatening, harassing, discriminatory, disruptive, inappropriate, reckless, illegal, abusive, intimidating, or repeatedly problematic behavior may result in participation restrictions or removal.
Examples may include, but are not limited to:
• Harassment or bullying
• Threatening conduct
• Unsafe supervision of minors
• Repeated disregard for event rules
• Inappropriate language or behavior
• Intoxication or illegal substance use during activities
• Property damage
• Disruptive or unsafe conduct toward venues, staff, vendors, or other participants
Participants are financially responsible for damages caused by themselves or minors in their care.
CFLHSG reserves the right to deny, restrict, suspend, revoke, or discontinue participation in events, communication groups, memberships, raffles, activities, travel experiences, or future participation when reasonably necessary to maintain:
• Safety
• Community standards
• Event integrity
• Operational needs
• Group wellbeing
Refunds, credits, or compensation are not guaranteed in situations involving participant removal, suspension, misconduct, failure to comply with policies, or safety concerns.
EVENT EXPERIENCE DISCLAIMER
CFLHSG strives to create meaningful, educational, organized, and enjoyable experiences; however, experiences may vary.
CFLHSG cannot guarantee:
• Attendance numbers
• Group size
• Group dynamics or participation levels
• Vendor performance
• Attraction availability
• Animal encounters, exhibits, or experiences
• Educational outcomes
• Weather conditions
• Exact schedules or timing
• Individual enjoyment or satisfaction
Activities, schedules, attractions, experiences, exhibits, transportation, vendors, and group participation may vary based on operational limitations, weather, staffing, safety concerns, availability, or circumstances outside of CFLHSG’s control.
Participants understand flexibility is often necessary in group educational experiences.

THIRD-PARTY PROVIDERS & TRAVEL DISCLAIMER
CFLHSG organizes educational experiences and community activities but does NOT own, operate, supervise, manage, or control third-party providers.
Participants understand and acknowledge that CFLHSG is NOT:
• A travel agency
• A transportation provider
• An airline
• A hotel operator
• A cruise company
• A charter company
• A venue owner or operator
• A food provider
• A medical provider
• An insurance provider
• A tour operator
• A ticketing vendor
CFLHSG may coordinate, organize, recommend, communicate, assist with planning, or provide guidance regarding third-party experiences; however, participants acknowledge that all services are ultimately provided by independent third parties.
This includes, but is not limited to:
• Airlines
• Cruise lines
• Hotels and lodging providers
• Museums and attractions
• Charter boats and fishing providers
• Transportation companies
• Campgrounds
• Theme parks
• Restaurants and food vendors
• Activity instructors
• Event venues
• Ticketing systems
• Payment processors
• Tour operators
• Independent vendors and contractors
Participants acknowledge that CFLHSG is not responsible for:
• Supplier errors or negligence
• Venue decisions or policy changes
• Delays or cancellations
• Schedule changes
• Transportation issues
• Lost, stolen, or delayed baggage
• Overbookings
• Attraction closures
• Food quality or allergen exposure
• Vendor performance or conduct
• Reservation errors
• Refund denials
• Mechanical failures
• Service interruptions
• Travel disruptions
• Weather-related changes
• Third-party negligence or actions
All travel, reservation, vendor, transportation, lodging, payment, and supplier-related concerns must be directed to the applicable third-party provider.
Participants acknowledge that they voluntarily assume any risks associated with engaging in services provided by third parties.
WAIVER, LIABILITY RELEASE & ASSUMPTION OF RISK
Participation in CFLHSG activities is completely voluntary.
By registering, RSVPing, purchasing tickets, participating, donat
ing, attending events, entering raffles, joining communication groups, volunteering, or otherwise engaging in CFLHSG activities, participants acknowledge and understand that participation may involve inherent risks, including but not limited to:
• Travel-related risks
• Delays and transportation issues
• Hotels and shared accommodations
• Public environments
• Outdoor walking areas
• Parking lots and uneven surfaces
• Crowded areas
• Weather-related conditions
• Wildlife or environmental factors
• Water-based activities
• Boating and fishing activities
• Physical activity and fatigue
• Exposure to illness or communicable conditions
• Slips, falls, or accidents
• Transportation incidents
• Equipment-related risks
• Overnight stays and shared lodging
• Activities involving third-party providers
• Participation in public group settings
Participants voluntarily assume ALL risks associated with participation for themselves and any minors, guests, or additional individuals included in their participation.
To the fullest extent permitted by law, participants agree to release, waive, indemnify, defend, and hold harmless:
Central Florida Homeschool Group (CFLHSG), its LLC, organizers, coordinators, volunteers, representatives, affiliates, assistants, contractors, event leaders, partners, sponsors, venues utilized by CFLHSG, and associated parties from any and all claims, demands, liabilities, injuries, illnesses, damages, losses, legal actions, causes of action, medical expenses, attorney fees, financial losses, property damage, emotional distress, travel losses, business interruption, or expenses arising from or related to participation in any CFLHSG activity.
This includes, but is not limited to:
• Personal injury
• Illness or allergic reactions
• Property damage or theft
• Financial loss
• Travel disruptions
• Accidents
• Medical emergencies
• Delays or cancellations
• Death
• Third-party negligence or actions
• Acts or omissions by participants
Participants acknowledge that CFLHSG cannot eliminate all risks and participation occurs voluntarily and at the participant’s own risk.
Participants further agree that they are responsible for determining whether participation is appropriate for themselves and any minors or guests in their care.
FOOD ALLERGY & MEDICAL DISCLAIMER
Participants understand that food served, purchased, provided, or consumed during activities may contain allergens or be exposed to cross-contamination.
CFLHSG does not guarantee allergen-free environments and is not responsible for allergic reactions, dietary issues, food sensitivities, contamination, illness, or medical concerns related to food or beverages.
Participants are solely responsible for managing their own dietary restrictions, allergies, medications, accessibility needs, medical conditions, hydration, personal health, and emergency preparedness.
PHOTO, VIDEO & MEDIA ACKNOWLEDGMENT
Photos, videos, recordings, livestreams, interviews, and other media may be captured during CFLHSG activities.
Media may be used within:
• Private communication groups
• Websites
• Social media
• Marketing materials
• Educational content
• Newsletters
• Promotional materials
• Community highlights
• Future event promotions
By participating, participants acknowledge and understand that they and/or minors in their care may appear in photographs, videos, recordings, livestreams, or media captured by:
• CFLHSG
• Volunteers
• Organizers
• Participants
• Venues
• Vendors
• Third parties
Because many CFLHSG activities occur in public or shared environments, CFLHSG cannot guarantee participants will not be photographed, recorded, or included in media.
Participants release CFLHSG from responsibility related to the capture, use, sharing, publication, or distribution of media by participants, venues, vendors, or third parties.
MEDICAL EMERGENCY AUTHORIZATION
In the event of an accident, illness, injury, emergency, or medical concern, participants authorize CFLHSG organizers, volunteers, representatives, or designated personnel to seek emergency medical assistance if reasonably deemed necessary.
Participants understand:
• Emergency contacts may be contacted when possible
• Medical treatment decisions may need to occur quickly
• Transportation for emergency care may be required
Participants acknowledge that ALL medical costs, transportation costs, prescriptions, insurance expenses, emergency fees, or healthcare expenses remain solely the responsibility of the participant or legal guardian.
CFLHSG assumes no responsibility for medical expenses or treatment outcomes.
UNFORESEEN CIRCUMSTANCES / FORCE MAJEURE
CFLHSG shall not be held responsible for delays, cancellations, losses, disruptions, modifications, schedule changes, reduced experiences, unavailable attractions, supplier interruptions, or inability to fulfill plans due to circumstances beyond reasonable control.
This includes, but is not limited to:
• Severe weather or hurricanes
• Natural disasters
• Illness outbreaks
• Venue closures
• Supplier failures
• Government restrictions
• Travel disruptions
• Transportation interruptions
• Mechanical failures
• Safety concerns
• Labor shortages or strikes
• Utility failures
• Emergencies or unforeseen events
CFLHSG reserves the right to reasonably modify itineraries, schedules, event details, venues, transportation plans, timing, activities, or arrangements when necessary for safety, practicality, operations, or participant wellbeing.
Participants acknowledge flexibility may be necessary during organized group activities.

ELECTRONIC CONSENT & ACKNOWLEDGMENT
By RSVPing, registering, purchasing tickets, participating, attending events, joining communication groups, submitting payment, volunteering, donating, participating in raffles or fundraisers, or otherwise engaging in any Central Florida Homeschool Group (CFLHSG) activity, participants acknowledge and agree that they:
• Have read, understood, and voluntarily agree to this Participation Agreement, Policies & Liability Waiver in its entirety
• Understand participation in CFLHSG activities involves inherent risks that cannot be fully eliminated
• Accept responsibility for reviewing event details, communication, schedules, policies, and event-specific expectations
• Understand certain activities may involve third-party vendors, transportation, travel, lodging, public environments, or activities beyond CFLHSG’s direct control
• Accept full responsibility for their family’s participation, supervision, transportation decisions, travel arrangements, purchases, and personal decisions
• Understand event-specific terms, deadlines, payment policies, refund policies, safety requirements, age restrictions, or venue expectations may vary by activity
• Agree to all waivers, liability releases, disclosures, participation standards, refund policies, and expectations outlined herein
• Understand participation may require use of communication platforms such as email, WhatsApp, SMS/text, websites, event platforms, and social media groups
• Understand participation in required communication channels may be necessary for certain activities, travel experiences, or group coordination
• Accept responsibility for all minors, guests, or additional participants included in their registration, RSVP, purchase, or attendance
• Agree to behave respectfully and comply with CFLHSG community standards and event expectations
• Understand failure to comply with policies, communication requirements, safety expectations, or event guidelines may affect participation eligibility
By registering, RSVPing, purchasing tickets, donating, participating in raffles or fundraisers, attending events, joining communication groups, volunteering, or otherwise participating in CFLHSG activities, participants voluntarily release, waive, indemnify, defend, and hold harmless Central Florida Homeschool Group (CFLHSG), its LLC, organizers, coordinators, volunteers, affiliates, representatives, contractors, assistants, event leaders, sponsors, partners, vendors utilized by CFLHSG, and associated parties from any and all claims, liabilities, losses, injuries, damages, disputes, medical expenses, legal claims, attorney fees, financial losses, causes of action, or expenses arising from or related to participation in any CFLHSG activity, event, travel experience, fundraiser, raffle, communication platform, membership opportunity, educational experience, field trip, overnight activity, cruise, workshop, camp, or community engagement.
Participants acknowledge they are voluntarily participating at their own risk.
GOVERNING LAW
This Agreement shall be governed by and interpreted in accordance with the laws of the State of Florida, without regard to conflict of law principles.
Any claim, dispute, controversy, or legal matter arising from participation in CFLHSG activities shall be resolved exclusively within the State of Florida.
Participants agree that venue and jurisdiction for any legal matter shall remain within the State of Florida.
POLICY UPDATES
CFLHSG reserves the right to update, modify, revise, clarify, reorganize, expand, or amend policies, participation requirements, procedures, disclosures, communication expectations, payment terms, refund terms, safety requirements, or operational guidelines at any time as reasonably necessary.
The most current version of this Participation Agreement, Policies & Liability Waiver will be maintained on this page.
Continued participation, RSVP submission, registration, ticket purchases, attendance, donations, fundraiser participation, raffle participation, volunteer involvement, communication group participation, or engagement with CFLHSG activities constitutes acknowledgment and acceptance of any updates.
Participants are responsible for reviewing the most current version of this Agreement.

FREQUENTLY ASKED QUESTIONS (FAQ)
DO I HAVE TO AGREE TO THIS AGREEMENT?
Yes. Participation in CFLHSG events, field trips, travel experiences, raffles, fundraisers, workshops, camps, cruises, communication groups, memberships, and activities requires agreement to these policies, waivers, and participation expectations.
ARE RSVP FEES, DEPOSITS, OR TICKETS REFUNDABLE?
Unless otherwise stated on a specific event page or registration form:
• RSVP planning fees are non-refundable and non-transferable
• Deposits are non-refundable and non-transferable
• Tickets are non-refundable unless an event is fully canceled by CFLHSG
Certain events may include separate refund policies due to vendor contracts, charter requirements, deadlines, travel arrangements, custom materials, or venue-specific obligations.
Always review event-specific terms before registering.
DO I HAVE TO JOIN WHATSAPP?
Certain events — particularly travel experiences, overnight activities, cruises, and time-sensitive field trips — may require participation in designated communication groups (such as WhatsApp) to receive important updates.
Failure to participate in required communication channels may result in missed information that could affect participation.
IS CFLHSG A TRAVEL AGENCY?
No. CFLHSG coordinates educational group experiences and community activities but does not operate as a travel agency, transportation company, hotel provider, airline, charter company, or tour operator.
Travel-related services are provided by independent third parties.
WHAT IF I HAVE NEVER TRAVELED OR FLOWN BEFORE?
Please do not panic Many CFLHSG families are new to travel experiences.
When applicable, CFLHSG is happy to help provide general planning guidance, tips, recommendations, and step-by-step assistance to help families feel more comfortable navigating travel experiences.
However, participants remain responsible for booking and managing their own reservations and travel arrangements unless otherwise specifically stated.
WHY DO EVENT DETAILS SOMETIMES CHANGE?
Group activities often involve many moving parts including vendors, weather, transportation, staffing, venue operations, group size, safety concerns, and scheduling logistics. While CFLHSG works hard to create organized, meaningful experiences, flexibility is sometimes necessary to help ensure the best possible outcome for the group.
